1. Introduction

FlowGenie (“we”, “us”, or “our”) is operated by Mahesh Ramala, an AI automation specialist and Zoho Authorized Partner. We are committed to protecting your personal information and your right to privacy. This Privacy Policy explains how we collect, use, and safeguard your data when you visit our website or engage our services.

2. Information We Collect

We may collect the following types of information:

  • Contact information — name, email address, company name, and any details you provide when filling out our contact form.
  • Usage data — pages visited, time on site, browser type, and IP address (collected via Google Analytics / Google Tag Manager if enabled).
  • Communications — messages you send us via email or our contact form.

3. How We Use Your Information

We use the information we collect to:

  • Respond to your enquiries and provide the services you request.
  • Send project updates or service-related communications.
  • Improve our website and understand how visitors interact with it.
  • Comply with legal obligations.

We do not sell, rent, or trade your personal information to third parties.

4. Cookies and Analytics

Our website may use cookies and similar tracking technologies through Google Tag Manager and Google Analytics to analyse site traffic and improve user experience. You can control cookie settings through your browser preferences. Disabling cookies may affect some functionality of the site.

5. Third-Party Services

We may share your information with trusted third parties solely to operate our services, including:

  • Email and communication tools (e.g. Google Workspace)
  • Project management and CRM platforms (e.g. Zoho)
  • Analytics services (e.g. Google Analytics)
  • Payment processing — our third-party payment providers (currently PayPal), for billing paid subscriptions to our Subscription Services.

These parties are contractually obligated to keep your information confidential and secure.

Payment data. Subscription payments are processed by our third-party payment providers (currently PayPal), which requires a PayPal account that may be funded with a debit or credit card. Your card details are held by the payment provider and handled under its security standards. Flowgenie does not receive or store your full card number. We retain only limited, non-sensitive billing information (such as your subscription status, payment history, and the last four digits of your card if provided to us by the payment provider) needed to manage your subscription.

Partner referrals. If you sign up through a referral link from one of our referral partners, we show that partner limited information about your account so they can track the commission they have earned — specifically your business name, your subscription status, and the related dates. We do not share your email address, phone number, or any of your Google Ads datawith partners, and partners never gain access to your Flowgenie account or reports. If you sign up without a referral link, none of your information is shared with any partner.

6. Data Retention

We retain your personal information only for as long as necessary to fulfil the purposes outlined in this policy or as required by law. Contact form submissions are retained for the duration of any business engagement and a reasonable period thereafter.

7. Your Rights

Depending on your location, you may have the right to:

  • Access the personal information we hold about you.
  • Request correction of inaccurate data.
  • Request deletion of your data.
  • Object to or restrict processing of your data.

To exercise any of these rights, please contact us at the email address below.

8. Security

We implement reasonable technical and organisational measures to protect your personal information against unauthorised access, loss, or disclosure. However, no method of transmission over the internet is completely secure.

9. Changes to This Policy

We may update this Privacy Policy from time to time. Changes will be posted on this page with an updated “Last updated” date. Continued use of our website after changes constitutes acceptance of the revised policy.

10. Google User Data (Flowgenie Marketing AI Agent)

This section applies specifically to Flowgenie Marketing AI Agent, a subscription service operated by Flowgenie Technologies Private Limited. When you subscribe, you may connect your own Google Ads account to Flowgenie Marketing AI Agent using Google’s secure OAuth sign-in. The following disclosures explain how we access, use, store, share, retain, and delete data obtained through Google APIs.

What Google data we access

For each Google Ads account you explicitly connect via Google OAuth, we access read-only Google Ads data, including:

  • Campaigns, ad groups, keywords, and search terms.
  • Performance metrics such as impressions, clicks, click-through rate (CTR), cost-per-click (CPC), cost, conversions, Quality Score, and impression share.

We access this data on a read-only basis. We never create, edit, pause, or delete anything in your Google Ads account, and we cannot spend money or change your campaigns.

How we use it

We use your Google Ads data solely to generate analytics, reports, and optimisation recommendations for you, the account owner. Specifically, we do not:

  • Use it for advertising or to serve you ads.
  • Sell, rent, or trade it to anyone.
  • Use it to train, fine-tune, or improve any generalised or foundation AI models.

How we store and share it

Aggregated metrics and the reports we generate are stored securely and encrypted at rest. Your Google OAuth tokens are held in a dedicated secrets manager, encrypted, and are never exposed to other users or third parties.

Your data is processed by our sub-processor Amazon Web Services (AWS), including AWS Bedrock (running Anthropic’s Claude models), which performs the AI analysis that produces your optimisation reports. AWS Bedrock does not store customer prompts or data, and does not use them to train its models. We do not share your Google user data with any other third parties.

Limited Use disclosure

Flowgenie Marketing AI Agent’s use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

Data retention and deletion

You can disconnect a connected Google Ads account at any time from within Flowgenie Marketing AI Agent, which immediately revokes our access to that account. When you disconnect an account, delete your Flowgenie Marketing AI Agent account, or request deletion via our contact email, we delete the associated Google user data within 30 days.

You can also review or revoke Flowgenie Marketing AI Agent’s access directly from your Google Account at myaccount.google.com/permissions.
